Harnham Committee Meeting
29th June 2008

Synopsis of Harnham Committee Meeting Minutes.  29th June 2008.

Present:
Tan Hiriko, Tan Nyanamoli, Samanera Visuddhi (Chair), John Bower, Caroline Dower (Minute Taker).

Apologies:
Ajahn Abhinando, Anna Portaro and Micky MacGregor.

Sangha Remarks:
Shramanera Do Gat was ordained on the 17th of May and is now known as Samanera Visuddhi.  Kath Jones will ordain as an Anagarikaa on 17th July for six weeks.  Stephan from France is another potential anagarika.  The new manager for Kusala House, Andrew Bateman, has been appointed and he will take up the position on the 30th June.

Building and Maintenance:

Monastery Site:
The kitchen is now finished.  Quotes are being collected for the new smoke alarm system.

Farad is going to prepare a quote for the project of moving the larder hut to become a garden store near Kusala House, and installing a new larder hut.  Fire doors still need to be installed in the Dhamma Hall accommodation.  Geoff will be coming to quote for this work in the near future.  A new fire door, or repairs to the existing door, may also be needed for the doorway adjoining the Reception Room and kitchen.  Also exterior wood noted in previous minutes may need attending to.

Action:  Geoff to be asked to look at the additional projects when quoting for the accommodation fire doors.

Kusala House:
Building and Maintenance issues for Kusala will be dealt with by the Kusala House Committee from now on to prevent unnecessary duplication.

Volunteer Days:
No volunteer days planned at present.

Health and Safety:
Fire doors and smoke detectors will be installed as discussed under Monastery Site.

Samanera Visuddhi and possibly also Anagarika Sebastian are still to undertake a First Aid course.

Hilltop:
The content for the next edition needs to be prepared by the end of July.

The Trust:
The new constitution is still being worked on and should be completed shortly.

Sangha Picnic:
The picnic will be at the Mill, Nick and Penny Pearce’s home on the 24th of August.

Action: TH to put further details and a map on the web-site.

Wesak:
Wesak went very smoothly this year.  Thank to all the volunteers who contributed to the event.

Food Offerings:
Regular food offerings are being made.  Rita is coming frequently and a student from Newcastle has approached Kath to offer help through the university summer holidays.  The Sangha receive regular dana from a local Thai restaurant on Tuesdays.

Website:
The calendar of events has now been finalized.

Committee Membership:
Ajahn Munindo has recommended Micky MacGregor to be a new member of the Lay Committee.  He will be proposed at the next Trust meeting on 27/7/08.  Caroline Dower gave advance notice of her need to stand down from the committee at the end of the year, shortly before the end of her two-year appointment, due to maternity leave.

Car:
There is no longer a shortage of drivers for the community.  Stephan and Andrew are both able to drive.  The car insurance is due to renewal.

Action:  SV to follow-up the car insurance renewal the week beginning 30/6/08

Additional Local Accommodation for Visitors:
It has been suggested that the monastery hold a list of local lay members of the community or local B&B accommodation for such times when the monastery and Kusala Guest house are at capacity.

Action:  CD to write a request for offers and recommendations for the next edition of Hilltop.

Publicising Events for the Lay Community:
The monastery has received some information from a friend of the community regarding local paper listings for Buddhist groups.

Action:  CD to contact the paper to further information to report back to the Lay Committee.

Next Meeting:
The next Committee Meeting will be on the 10th August 2008 at 4pm.
